Privacy policy

How we handle personal information, including vehicle location data.

Last updated: [date]

Who we are

We Track IT is a business name of We Fix IT (NT) Pty Ltd (ABN 25 164 167 891), based in Darwin, Northern Territory. In this policy, “we”, “us” and “our” mean We Track IT.

We supply GPS tracking devices and a vehicle-tracking platform to businesses and organisations. This policy explains what personal information we collect, why, and what we do with it. It is written with the Australian Privacy Principles in the Privacy Act 1988 (Cth) in mind.

Two kinds of information

We hold personal information in two different ways:

  • About our customers and website visitors — for example, your name and contact details when you make an enquiry or open an account. We decide how this information is used.
  • Tracking data we hold for our customers — the location and other data from vehicles our customers choose to track. Our customer decides which vehicles are tracked and who can see the data. We hold and process it to provide the service to them.

If you drive a vehicle tracked by your employer or another organisation, please talk to them first about how they use tracking. They are responsible for telling you about it. We can help them with that.

What we collect

  • Contact and enquiry details: name, business, email, phone, and anything you tell us in an enquiry, email or phone call.
  • Account details: names, email addresses and phone numbers of the people who use the platform, and their user roles.
  • Billing details: what you need to be invoiced and to pay us.
  • Vehicle and tracking data: the location, speed, direction and time of each record, trips, alerts and events (such as ignition, harsh braking or unplugging), and data the tracker reads from the vehicle (such as odometer, fuel level and fault codes, where the vehicle supports it).
  • Driver details: if our customer adds driver records to the platform, the names and other details they enter.
  • Device details: tracker and SIM identifiers, and technical data about how trackers are running.
  • Website data: our web host processes technical information such as IP addresses to deliver this website and protect it from abuse. Our enquiry form uses Cloudflare Turnstile to block spam.

Location data can be personal information when it relates to a person who can be identified — for example, the driver of a vehicle. We treat it with that in mind.

How we use it

  • to reply to enquiries and give quotes;
  • to set up, run and support your account and trackers, including configuring trackers remotely;
  • to show tracking data, alerts and reports to the people our customer authorises;
  • to bill you and manage your plan;
  • to keep the service secure and working, and to fix problems;
  • to meet our legal obligations.

We don’t sell personal information.

Who we share it with

We share personal information only as needed to provide our service, including with:

  • the technology providers that host and run the tracking platform;
  • mobile network providers that carry data from trackers;
  • providers we use for email, website hosting and accounting;
  • anyone our customer asks us to share data with — for example, through a shared live-location link or a data integration;
  • government or law enforcement bodies where the law requires or allows it.

Some of our platform, network and hosting providers may store or process information outside Australia. [List the countries here once confirmed.]

How we protect it

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Access to the platform is controlled by individual user logins, which we set up at our customer’s request. When we no longer need personal information, we take reasonable steps to destroy or de-identify it.

Tracking history is kept on the platform for 24 months. When a customer leaves, they can export their data for 30 days after their services end; after that we may delete it.

Access and correction

You can ask for access to the personal information we hold about you, or ask us to correct it. Contact us using the details below. If the information is tracking data we hold for one of our customers, we may refer your request to them.

Cookies and analytics

This website doesn’t use advertising cookies. The help centre remembers small settings, such as which menu sections are open, in your browser.

We use Cloudflare Web Analytics to count visits and see which pages are useful. It doesn’t use cookies or track you across other websites.

Complaints

If you have a concern about how we have handled your personal information, contact us first and we’ll work to sort it out. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
